FlewIt Privacy Policy

Skylife Technologies Ltd., a British Columbia, Canada company operating the FlewIt service (“FlewIt,” “we,” “us,” or “our”), respects your privacy and is committed to protecting your personal information.

This Privacy Policy explains how we collect, use, disclose, store, retain, transfer, and protect personal information when you access or use FlewIt, including our website, applications, features, services, and related communications (collectively, the “Service”).

It also explains the choices and rights that may be available to you regarding your personal information.

By accessing or using FlewIt, you acknowledge the practices described in this Privacy Policy.

1. Scope of This Privacy Policy

This Privacy Policy applies to personal information that we collect in connection with FlewIt, including when you:

  • create or maintain a FlewIt account;

  • sign in using a third-party authentication service;

  • enter, upload, import, or otherwise provide flight or travel information;

  • upload flight or trip photos;

  • use FlewIt maps, statistics, dashboards, badges, trips, and other features;

  • purchase or manage a subscription;

  • visit our website;

  • interact with our emails or other communications;

  • view or interact with advertising;

  • participate in referral, affiliate, promotional, or other programs;

  • contact us for support or other inquiries; or

  • otherwise interact with FlewIt.

This Privacy Policy does not govern the privacy practices of independent third-party websites, applications, services, or organizations that we do not control.

2. Personal Information We Collect

The personal information we collect depends on how you use FlewIt and which features you choose to use.

A. Account and Profile Information

When you create or maintain a FlewIt account, we may collect information such as:

  • your name;

  • username;

  • email address;

  • account and authentication identifiers;

  • profile information;

  • home city or home airport;

  • preferences and account settings; and

  • other information you choose to provide.

FlewIt may also introduce profile-photo functionality. If you choose to use that feature when available, we will process the profile photo you upload.

B. Google Authentication Information

FlewIt uses Google authentication to support account registration and login.

When you choose to authenticate using Google, we may receive information made available by Google in connection with your authentication and the permissions used by FlewIt, such as:

  • a Google account identifier;

  • your name;

  • your email address; and

  • profile information or profile image made available through Google.

FlewIt does not receive your Google account password.

Google's handling of information is governed by Google's own applicable terms and privacy policies.

C. Flight, Travel, and User Content

FlewIt allows you to create and maintain a personal record of your flight and travel history.

Depending on the information you choose to provide, we may collect information such as:

  • flight dates;

  • departure and arrival airports;

  • airlines;

  • flight numbers;

  • routes;

  • aircraft types and registrations;

  • seat information;

  • class of service;

  • flight duration;

  • distance travelled;

  • trip information;

  • travel companions;

  • flight costs or prices;

  • notes;

  • tags;

  • trip photos;

  • flight photos; and

  • other aviation or travel-related information you choose to record.

Some of this information may reveal or allow someone to infer aspects of your travel history or locations you have visited.

You control the information you choose to add to FlewIt, subject to information required to operate particular features.

D. Photos and Uploaded Media

FlewIt allows you to upload photos associated with flights and trips.

We may process uploaded photos in order to:

  • store and display them within your account;

  • associate them with flights or trips;

  • provide photo-related features;

  • maintain backups; and

  • provide other functionality you request.

You should only upload photographs or other content that you have the right to upload and use.

FlewIt does not require access to your device's precise geographic location in connection with uploaded photos.

E. Information Generated From Your FlewIt Data

We may automatically calculate or generate information based on information in your account, including:

  • flight statistics;

  • travel statistics;

  • maps and routes;

  • distances;

  • totals and averages;

  • airport, airline, aircraft, country, city, and route statistics;

  • achievements and badges;

  • dashboard information; and

  • other analytics relating to your flight history.

This information is generally derived from information you provide and aviation or geographic information associated with your flight records.

F. Subscription and Payment Information

FlewIt uses Stripe to process payments for applicable subscriptions and paid features.

We may collect or maintain transaction-related information such as:

  • subscription type;

  • billing status;

  • transaction identifiers;

  • payment date;

  • amount paid;

  • currency;

  • billing country or region;

  • subscription renewal information; and

  • other transaction-related information.

Payment-card and other payment information required to process a transaction is generally provided directly to Stripe.

FlewIt does not generally store complete credit or debit card numbers.

Stripe processes payment information in accordance with its own applicable terms and privacy practices.

G. Communications With Us

If you contact us, we may collect:

  • your name;

  • email address;

  • the contents of your message;

  • support requests;

  • feedback;

  • survey responses;

  • bug reports; and

  • other information you choose to provide.

H. Technical and Usage Information

When you access or use FlewIt, we and certain service providers may automatically process technical or usage information such as:

  • IP address;

  • browser type and version;

  • device type;

  • operating system;

  • device or browser identifiers;

  • referring and exit pages;

  • dates and times of access;

  • pages, screens, and features viewed or used;

  • interactions with the Service;

  • login and session information;

  • performance information;

  • approximate location derived from an IP address; and

  • other technical information relating to the operation, security, and use of FlewIt.

FlewIt does not currently request or collect precise GPS location from your device as part of its standard functionality.

Location-related information shown in FlewIt is generally based on information such as airports, cities, flight records, information you provide, or approximate location information derived from technical data such as an IP address.

I. Analytics Information

FlewIt uses Google Analytics to help understand how users interact with the Service.

Depending on our configuration and your applicable privacy choices, analytics information may include:

  • pages and screens viewed;

  • features used;

  • interactions and events;

  • referral sources;

  • session information;

  • device and browser information;

  • approximate geographic information;

  • usage patterns; and

  • advertising or campaign-related measurement information.

We may use available Google Analytics features, including measurement or advertising-related functionality, where appropriate.

Where required by applicable law, analytics and advertising-related functionality is subject to applicable consent or privacy choices.

J. Advertising Information

FlewIt uses Google AdSense to display advertising.

Google and its advertising technologies may process information in connection with advertising, including information such as:

  • IP address;

  • browser or device information;

  • cookie or device identifiers;

  • advertising identifiers where applicable;

  • pages or content viewed;

  • interactions with advertisements;

  • advertising and campaign information; and

  • information used to measure, limit, personalize, or report advertising.

Depending on your jurisdiction and privacy choices, advertisements may be personalized or non-personalized.

Where required by applicable law, advertising cookies and similar technologies will be subject to consent or opt-out controls.

K. Referral, Affiliate, and Promotional Information

If you participate in or arrive through a referral, affiliate, or promotional program, we may collect information such as:

  • referral or affiliate identifiers;

  • referral links;

  • promo codes;

  • campaign identifiers;

  • conversion information; and

  • information necessary to administer rewards, commissions, discounts, or promotions.

3. How We Use Personal Information

We may use personal information to:

  1. create, authenticate, maintain, and manage your FlewIt account;

  2. authenticate users through Google;

  3. provide and operate the FlewIt Service;

  4. store, organize, display, and manage your flight and travel history;

  5. store and display trip and flight photos;

  6. generate maps, statistics, dashboards, badges, achievements, and other features;

  7. personalize your FlewIt experience;

  8. process subscriptions, payments, renewals, refunds, and billing;

  9. provide customer support;

  10. respond to inquiries, feedback, and requests;

  11. send account, billing, security, and service-related communications;

  12. send marketing or promotional communications where permitted by law;

  13. operate referral, affiliate, and promotional programs;

  14. display and measure advertising;

  15. analyze how FlewIt is used;

  16. understand product usage and engagement;

  17. troubleshoot technical problems;

  18. monitor system availability and uptime;

  19. improve, develop, test, and maintain FlewIt;

  20. protect the security and integrity of FlewIt;

  21. detect, investigate, and prevent fraud, abuse, unauthorized access, and other harmful activity;

  22. create and maintain backups for security, business continuity, and disaster recovery;

  23. enforce our Terms and Conditions and other policies;

  24. establish, exercise, or defend legal claims;

  25. comply with applicable laws, regulations, court orders, and lawful requests; and

  26. carry out other purposes that we disclose to you or for which you provide consent.

We will not use personal information for a materially different purpose without providing appropriate notice or obtaining consent where required by applicable law.

4. Consent

Where consent is required, we seek consent appropriate to the nature and sensitivity of the personal information and the purposes for which it is collected, used, or disclosed.

In some circumstances, consent may be implied from your actions.

For example, when you voluntarily add a flight, trip, photo, note, or other content to FlewIt, you authorize us to process that information as reasonably necessary to provide the features associated with it.

Certain information is necessary for us to provide the Service. If you choose not to provide or allow us to process that information, certain FlewIt features may not be available to you.

You may withdraw consent to certain uses of personal information, subject to applicable legal, contractual, or operational restrictions and reasonable notice.

Where applicable, you may manage consent relating to analytics, advertising, cookies, and similar technologies through Cookie Settings.

5. Profile Visibility and Information You Share

FlewIt may allow you to control whether certain profile or travel information is private or visible to other users or the public.

If you choose to make information publicly visible, that information may be viewed, copied, saved, or otherwise accessed by other people.

You should carefully consider what information you make public, particularly information concerning travel history, locations, photographs, or travel companions.

Information maintained in private portions of your account will not be intentionally made publicly visible except:

  • at your direction;

  • as necessary to provide a feature you request;

  • as described in this Privacy Policy; or

  • where permitted or required by law.

6. Cookies and Similar Technologies

FlewIt uses cookies and may use local storage, tags, pixels, scripts, SDKs, and similar technologies.

These technologies may be used for:

Strictly Necessary Purposes

Such as:

  • account authentication;

  • login and session management;

  • security;

  • fraud prevention;

  • technical functionality; and

  • remembering privacy or cookie choices.

Functional Purposes

Such as remembering settings, preferences, and interface choices.

Analytics and Performance

Including technologies used through Google Analytics and Google Tag Manager to measure and understand use of FlewIt.

Advertising

Including technologies used by or in connection with Google AdSense to deliver, measure, limit, or personalize advertising.

Referral and Affiliate Tracking

Including technologies used to identify referral sources and attribute qualifying signups or purchases.

Where required by applicable law, non-essential cookies and similar technologies will be used in accordance with applicable consent or privacy choices.

7. Google Tag Manager

FlewIt uses Google Tag Manager to manage and deploy certain website technologies and tags.

Google Tag Manager may be used to manage technologies associated with:

  • Google Analytics;

  • advertising;

  • conversion measurement;

  • consent management;

  • campaign measurement; and

  • other website functionality.

We configure applicable tags to respond to privacy and consent choices where required.

8. Future Behavioural Analytics and Session Analysis

FlewIt may in the future use behavioural analytics technologies such as:

  • heatmaps;

  • click and scroll analysis;

  • interaction analytics;

  • user surveys; or

  • session-replay or session-analysis technologies.

These technologies may help us identify usability issues, understand feature engagement, diagnose technical problems, and improve the design of FlewIt.

We do not currently identify a specific behavioural-analytics provider in this Privacy Policy because one has not yet been selected.

If we introduce technologies that materially affect our privacy practices, we will update our disclosures and implement applicable consent or privacy controls as required.

9. How We Disclose Personal Information

We may disclose or make personal information available to service providers and other recipients for the purposes described below.

We do not disclose personal information except as described in this Privacy Policy, at your direction, with your consent, or as otherwise permitted or required by applicable law.

A. Hostinger — Hosting and Email

We use Hostinger to provide hosting infrastructure and email services.

Our primary FlewIt production database is hosted on a Hostinger virtual private server located in Boston, Massachusetts, United States.

Hostinger infrastructure may process information necessary to:

  • host FlewIt;

  • store application and database information;

  • operate the Service;

  • provide server infrastructure;

  • deliver email; and

  • maintain applicable backups.

B. Stripe — Payments

We use Stripe to process payments.

Stripe may process payment, billing, transaction, device, fraud-prevention, and other information necessary to process payments and provide its services.

Stripe's handling of information may also be governed by its own privacy terms and policies.

C. Google — Authentication, Analytics, Tag Management, and Advertising

We use Google services including:

  • Google authentication / Sign in with Google;

  • Google Analytics;

  • Google Tag Manager; and

  • Google AdSense.

Depending on the particular service and your applicable choices, Google may process account identifiers, technical information, device or browser information, usage information, advertising information, cookies, or other information necessary to provide these services.

Google's processing of information is also subject to its own applicable terms and privacy policies.

D. UptimeRobot — Uptime Monitoring

We use UptimeRobot to monitor the availability and uptime of FlewIt and related systems.

UptimeRobot may make automated requests to FlewIt infrastructure and process technical information associated with those monitoring activities.

We use this service to detect outages and maintain the availability and reliability of FlewIt.

E. OpenStreetMap — Map Tiles

FlewIt uses Leaflet to display maps and uses the OpenStreetMap public standard tile service to retrieve map tiles.

When map tiles are requested, the OpenStreetMap service may receive ordinary technical request information associated with the user's browser or device, such as:

  • IP address;

  • browser or user-agent information;

  • referring website information; and

  • the map tiles requested.

FlewIt does not intentionally send your flight notes, photographs, account profile information, or other confidential user content to OpenStreetMap as part of map-tile requests.

F. FlightAware AeroAPI — Aviation Data

FlewIt uses FlightAware AeroAPI as an aviation-data provider.

We may send aviation-related queries or identifiers to FlightAware as necessary to retrieve information used by FlewIt, such as information associated with:

  • flights;

  • flight numbers;

  • airports;

  • airlines;

  • aircraft;

  • schedules;

  • routes; and

  • related aviation information.

FlightAware's handling of information is subject to its applicable terms and privacy policies.

G. Dropbox — Encrypted Off-Site Backups

We use a Skylife Technologies Ltd.-controlled Dropbox account as part of FlewIt's off-site backup system.

Production information contained in backup files may therefore be stored through Dropbox.

Backups transferred to Dropbox are encrypted as part of our backup process.

Access to the Dropbox account used for FlewIt backups is controlled by Skylife Technologies Ltd.

H. Other Remote Backup Infrastructure

We also maintain longer-term remote backup recovery points using a grandfather-father-son (“GFS”) backup structure.

These backups are maintained for disaster recovery and business continuity.

I. Professional Advisors

We may disclose information where reasonably necessary to:

  • lawyers;

  • accountants;

  • auditors;

  • insurers;

  • consultants; and

  • other professional advisors.

J. Legal and Safety Purposes

We may disclose information where we reasonably believe disclosure is necessary or permitted to:

  • comply with applicable law;

  • respond to a lawful court order, subpoena, warrant, or government request;

  • enforce agreements or policies;

  • investigate fraud, abuse, or security incidents;

  • protect the rights, property, or safety of FlewIt, our users, or others; or

  • establish, exercise, or defend legal claims.

K. Business Transactions

If Skylife Technologies Ltd. is involved in a merger, acquisition, financing, restructuring, sale of assets, insolvency proceeding, or other business transaction, personal information may be disclosed or transferred as part of that transaction, subject to applicable law.

L. At Your Direction

We may disclose information when you direct or authorize us to do so.

10. Advertising, Sale, Sharing, and Targeted Advertising

FlewIt does not sell personal information to data brokers or other third parties in exchange for money.

FlewIt does, however, use Google AdSense and may use other advertising or campaign-measurement technologies.

These technologies may involve providing or making available certain information such as:

  • cookie identifiers;

  • device or browser identifiers;

  • IP address;

  • online activity information;

  • advertising interactions; and

  • conversion information.

Certain privacy laws may characterize some advertising-related activities as a “sale,” “sharing,” targeted advertising, cross-context behavioural advertising, or similar activity even where no money is exchanged for the information.

Where applicable law provides a right to consent to or opt out of such activities, FlewIt will provide applicable controls.

These controls may be available through:

  • Cookie Settings;

  • privacy controls within FlewIt; or

  • other mechanisms we make available.

11. Google Analytics and Advertising Features

FlewIt uses Google Analytics to understand use of the Service.

Depending on our configuration, we may use additional Google Analytics or Google advertising functionality, which may include features relating to:

  • advertising measurement;

  • Google Signals;

  • remarketing;

  • audience measurement;

  • User-ID;

  • conversion measurement; or

  • linking Google Analytics with Google advertising services.

We may enable, disable, or modify these features as FlewIt develops.

Where a particular feature requires consent or an applicable privacy choice, we will configure it to operate in accordance with those requirements.

12. International Storage and Processing

FlewIt is operated by Skylife Technologies Ltd. in British Columbia, Canada, but personal information is processed and stored in other jurisdictions.

In particular:

  • FlewIt's primary production database is hosted on Hostinger infrastructure in Boston, Massachusetts, United States;

  • production backups are stored within the Hostinger environment;

  • encrypted backups are transferred to a Skylife-controlled Dropbox account; and

  • certain other service providers, including Google, Stripe, UptimeRobot, FlightAware, and other providers, may process information in jurisdictions in which they or their service providers operate.

As a result, personal information may be transferred to, stored in, or accessed from countries outside Canada.

When information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction and may be accessible to courts, law-enforcement authorities, regulators, or governmental authorities where permitted by applicable law.

Where required by applicable law, we use reasonable contractual, technical, organizational, or other safeguards in connection with cross-border processing.

13. Backup and Disaster-Recovery Retention

FlewIt maintains multiple tiers of backups to protect against data loss, corruption, technical failure, and other incidents.

Our current production backup retention schedule is:

Production VPS

  • hourly backups retained for approximately 2 days; and

  • daily backups retained for approximately 14 days.

Encrypted Off-Site Dropbox Backups

  • hourly backups retained for approximately 14 days; and

  • daily backups retained for approximately 60 days.

Long-Term Remote GFS Backups

We maintain:

  • 12 weekly recovery points; and

  • 24 monthly recovery points.

Backup retention schedules may be modified from time to time as our infrastructure, security requirements, or operational needs change.

Deleting information from FlewIt's active production database does not necessarily result in the immediate deletion of every historical backup containing that information.

Information contained in a backup may remain until the applicable backup expires, is overwritten, or is securely deleted in accordance with the applicable retention schedule.

Backups are maintained for restoration, disaster recovery, security, and business-continuity purposes and are not intended to be used for ordinary business operations after information has been deleted from active systems.

14. General Data Retention

Outside backup systems, we retain personal information only for as long as reasonably necessary for the purposes for which it was collected or otherwise permitted by applicable law.

This may include retention necessary to:

  • provide your account and the Service;

  • maintain your flight and travel history;

  • process payments and subscriptions;

  • satisfy legal, tax, accounting, and reporting obligations;

  • maintain security and prevent fraud;

  • resolve disputes;

  • enforce agreements; and

  • maintain appropriate business records.

Retention periods may vary depending on the nature of the information, the purpose for which it was collected, your account status, and applicable legal requirements.

When personal information is no longer reasonably required, we may delete, anonymize, or securely dispose of it.

15. Account Deletion

You may request deletion of your FlewIt account through available account-deletion tools or by contacting us.

Deletion of your account may remove information from active systems including:

  • flight logs;

  • trip information;

  • profile information;

  • uploaded photos;

  • maps;

  • statistics;

  • badges;

  • preferences; and

  • other account information.

Certain information may be retained where reasonably necessary or permitted for:

  • legal obligations;

  • accounting or tax requirements;

  • payment records;

  • fraud prevention;

  • security;

  • dispute resolution; or

  • other legitimate retention purposes.

Information may also remain temporarily in backups as explained in the Backup and Disaster-Recovery Retention section.

16. Data Export

Where data-export functionality is available, you may use it to obtain a copy of certain information associated with your FlewIt account.

You may also contact our Privacy Officer to exercise applicable access or portability rights available under law.

17. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against:

  • unauthorized access;

  • unauthorized disclosure;

  • loss;

  • theft;

  • misuse;

  • alteration; and

  • destruction.

Depending on the system and information involved, our safeguards may include:

  • access controls;

  • authentication measures;

  • encryption;

  • secure communications;

  • system monitoring;

  • uptime monitoring;

  • backups;

  • software and security updates;

  • restrictions on access to personal information; and

  • security and recovery procedures.

Our off-site Dropbox backups are encrypted and maintained through a Skylife-controlled account.

However, no internet transmission, computer system, cloud service, backup system, or security measure can guarantee absolute security.

If a privacy or security incident occurs, we will investigate and take appropriate steps, including making notifications where required by applicable law.

18. Automated Calculations and Personalization

FlewIt may automatically process information in your account to generate:

  • maps;

  • statistics;

  • achievements;

  • badges;

  • rankings or classifications;

  • recommendations; and

  • other personalized displays.

These processes are intended to provide and personalize the FlewIt experience and are not intended to make decisions that produce legal or similarly significant effects concerning you.

19. Email Communications

FlewIt uses Hostinger to support email delivery.

We may send transactional or service-related communications such as:

  • account-verification messages;

  • authentication-related communications;

  • security alerts;

  • billing and payment notices;

  • subscription notices;

  • account changes;

  • customer-support messages; and

  • important service announcements.

We may also send newsletters, promotional messages, or other commercial communications where you have consented or where otherwise permitted by applicable law.

You may unsubscribe from marketing communications using the unsubscribe mechanism provided in the message or by contacting us.

Unsubscribing from marketing communications will not prevent you from receiving necessary transactional or service-related messages.

20. Children and Minors

FlewIt is not intended for children under the age of 13, and children under 13 may not create or use a FlewIt account.

If we learn that we have collected personal information from a child under 13 contrary to this Policy, we will take reasonable steps to delete the information.

If you are under the age of majority where you live, you may use FlewIt only with the permission of a parent or legal guardian, as described in our Terms and Conditions.

Where applicable law requires a higher minimum age or additional parental consent, we will comply with those requirements.

21. Your Privacy Rights

Depending on where you live and applicable law, you may have rights relating to your personal information.

These may include the right to:

  • request access to personal information we hold about you;

  • request information about how personal information has been used or disclosed;

  • request correction of inaccurate information;

  • request deletion of certain personal information;

  • withdraw consent where applicable;

  • object to or restrict certain processing;

  • obtain a portable copy of certain information where applicable;

  • opt out of certain advertising, sale, or sharing activities where applicable;

  • unsubscribe from marketing communications; and

  • make a complaint regarding our privacy practices.

These rights may be subject to applicable exceptions or limitations.

We may need to verify your identity before completing certain requests.

22. European Economic Area, United Kingdom, and Other Jurisdictions Requiring a Legal Basis

Where applicable privacy law requires us to identify a legal basis for processing personal information, our legal bases may include:

  • performance of our contract with you, including providing the FlewIt Service;

  • your consent;

  • compliance with legal obligations; and

  • our legitimate interests, where those interests are permitted and are not overridden by your applicable rights and interests.

Legitimate interests may include:

  • operating FlewIt;

  • maintaining security and reliability;

  • understanding use of the Service; and

Where consent is the legal basis for processing, you may withdraw that consent subject to applicable law.

23. United States Privacy Rights

Residents of certain U.S. states may have additional rights under applicable state privacy laws where those laws apply to FlewIt.

Depending on the applicable law, these may include rights to:

  • access personal information;

  • correct personal information;

  • delete personal information;

  • obtain a portable copy of certain information;

  • opt out of targeted advertising;

  • opt out of certain sales or sharing of personal information; or

  • appeal certain decisions concerning privacy requests.

FlewIt does not sell personal information in exchange for money.

As explained above, however, certain advertising activities involving Google AdSense or other advertising technologies may be considered “sharing,” targeted advertising, or a “sale” under some privacy laws.

Where FlewIt is required to provide an applicable opt-out mechanism, we will make one available.

24. Third-Party Services and Privacy Policies

Third-party providers used by FlewIt maintain their own terms, privacy policies, and data-handling practices.

These providers include or may include:

  • Hostinger;

  • Google;

  • Stripe;

  • Dropbox;

  • UptimeRobot;

  • OpenStreetMap Foundation; and

  • FlightAware.

Where a provider processes information independently rather than solely on FlewIt's behalf, its own privacy terms may also govern its processing.

We encourage you to review the privacy information provided by third-party services you choose to use.

25. Changes to This Privacy Policy

We may update this Privacy Policy from time to time, including to reflect:

  • changes to FlewIt;

  • new features;

  • new service providers;

  • changes to advertising or analytics technology;

  • changes to data-storage or backup practices;

  • changes to our privacy practices; or

  • changes in applicable law or regulatory requirements.

When this Policy is updated, we will revise the Last Updated date at the top.

If we make material changes, we will take reasonable steps to provide appropriate notice.

Where required by law, we will obtain appropriate consent before applying a material change to information previously collected.
